Purchasing Officer

About the role

The Purchasing Officer supports the school's procurement activities by ensuring timely, efficient, and cost‑effective acquisition of goods and services. Working closely with internal departments and external vendors, the officer helps maintain operational continuity while delivering value for money.

Key responsibilities

• Process purchase requisitions and prepare purchase orders in line with school procurement policies.
• Obtain and evaluate quotations from approved suppliers, preparing comparative analyses for management.
• Coordinate with vendors on quotations, orders, deliveries, invoices, and payment matters.
• Conduct market research to identify new suppliers, benchmark pricing, and achieve best value.
• Maintain and regularly update supplier databases, contracts, purchase orders, and supporting documentation.
• Monitor purchase order status and follow up to ensure timely delivery.
• Assist in negotiating pricing, payment terms, delivery schedules, warranties, and service agreements.
• Verify that all procurement documentation is complete, authorized, and approved before processing.
• Support inventory control and asset management by coordinating receipt of items and maintaining records.
• Prepare procurement, expenditure, supplier performance, and savings reports as requested.
• Resolve procurement‑related issues, supplier disputes, delivery delays, and quality concerns.
• Recommend process improvements, standardize purchasing practices, and reduce costs.
• Maintain confidentiality of procurement information and coordinate with Finance for accurate invoice reconciliation.
