Distribution Coordinator

About the role

Distribution Coordinators handle orders, routing, returns, re‑scheduling, cancellations, complaints and refunds, acting as the primary point of contact between customers and internal departments. They coordinate activities with Order Processing Agents, showroom storekeepers, labourers and third‑party delivery agents to ensure smooth dispatch.

Key responsibilities

• Maintain distribution schedules to optimise fleet capacity and delivery lead‑times.
• Correspond with customers via email to follow‑up, inquire and update order and complaint information.
• Manage inter‑departmental communication for order fulfilment, complaints and returns.
• Handle customer complaints and resolve them within company KPIs.
• Track third‑party delivery agents through calls and the tracking system.
• Create SAP QM tickets for short‑case picking issues, providing all required information.
• Assist showroom storekeepers with daily cash hand‑over and related documentation.
• Send daily performance reports covering dispatched, cancelled, pending and undelivered orders.
• Process deliveries, complaints, returns and order cancellations across multiple systems.
• Ensure accuracy of information when updating documents and system records.
• Log order, delivery, complaint and return updates regularly in the systems.
• Coordinate with finance to check payment‑on‑delivery ageing lists.
• Support colleagues in emailing vendors for stock availability and arrange picking and delivery.
• Process order cancellations and returns.

Required profile

• 1–3 years of experience in a similar logistics or distribution role.
• Strong written communication and coordination abilities.
• Team player with a positive attitude and willingness to stretch limits.
• High school diploma; a diploma or bachelor’s degree is preferred.
