Mandoub – Visa and Permit Coordinator

About the role

The Mandoub will be responsible for processing, tracking, and managing all paperwork and transactions required for the university, including licenses, permits, PUC, and employee‑related legal processes such as residencies, visas, and civil IDs.

Key responsibilities

• Process all types of visas, including employment and residency visas, and manage extensions, cancellations or transfers.
• Renew and track company permits, authorized signatory status, and licenses.
• Handle issuance and cancellation of work permits, government health insurance, medical tests, fingerprint registration, and civil ID processes.
• Coordinate PUC approvals and renewals for university staff and work with HR to register or cancel Kuwaiti employees with Social Security.
• Monitor changes in labor and immigration regulations and keep the HR department informed.
• Prepare quarterly sponsorship reports for the immigration/labor office and submit supporting documents.
• Assist HR in completing employee departure and exit formalities after visa cancellation.

Required profile

• Diploma with at least three years of experience in an educational institution.
• Knowledge of Kuwait Labor Office, Jawazat, and governmental regulations related to visas and permits.
• Familiarity with administrative procedures and university policies for licensing and documentation.
• Strong written and verbal communication skills in English and Arabic.
• High attention to detail, ability to manage changing priorities, and strong multi‑tasking capabilities.
• Proven time‑management, confidentiality, problem‑solving and follow‑up skills.
