About the role
Talabat is seeking an Administrative Coordinator to support the rapid growth of its tMart grocery store concept across the region. The role focuses on maintaining operational master files, handling legal documentation, and ensuring smooth day‑to‑day store operations.
Key responsibilities
- Generate, prepare, schedule and distribute operational reports.
- Maintain country‑level operational master files such as SOPs and SLAs.
- Manage store‑related data including personnel records, contracts, licenses, health cards, assets and building contacts.
- Track legal licenses and health cards, ensuring timely renewals to avoid fines.
- Collect overtime data and coordinate approvals with city managers for both in‑house and outsourced teams.
- Support operational projects, proposals and presentations as needed.
- Coordinate marketing and engagement activities to ensure compliance with company policies.
- Monitor operational supplies (stationery, pantry items, consumables) to prevent business interruptions.
- File, maintain and track all operational purchase orders.
- Organise office operations, correspondence, filing systems and clerical functions.
- Analyse special reports, summarize information and identify trends for management.
- Maintain recruitment, onboarding and training records for operations staff.
- Ensure utilities accounts are up‑to‑date and payments are executed.
- Attend operations and city meetings, record minutes and follow up on actions.
- Document store visits, audit reports and suggest enhancements.
