About the role
The Executive Secretary provides high‑level administrative support to senior executives, ensuring their schedules run smoothly and their daily tasks are efficiently managed. This role enables executives to focus on strategic responsibilities while handling all routine office duties.
Key responsibilities
- Maintain and organize the executive’s agenda, schedule appointments, board meetings, and conferences.
- Attend meetings, record minutes, and distribute action items.
- Screen and redirect phone calls, manage incoming and outgoing correspondence.
- Arrange domestic and international travel, including itineraries and accommodations.
- Handle confidential documents and ensure secure filing.
- Prepare invoices, financial statements, and assist with basic bookkeeping.
- Monitor office supplies, negotiate with vendors for cost‑effective orders.
- Maintain electronic and paper records for easy accessibility.
- Conduct research and create presentations or reports as assigned.
Required profile
- Proven experience as an executive secretary or in a similar administrative role.
- Bachelor’s degree in Business Administration or related field.
- Strong organizational, time‑management, and multitasking abilities.
- High level of integrity, confidentiality, and professional communication.
Required skills
- Proficiency in Microsoft Office suite.
- Experience with back‑office software, such as ERP systems.
