Parts Coordinator – Spare Parts Operations

About the role

The Parts Coordinator is responsible for coordinating daily spare parts operations, ensuring parts availability, order follow‑up, allocation and delivery support for workshop, fleet, body shop and customer requirements.

Key responsibilities

• Coordinate spare parts requests for workshop, body shop, fleet and retail operations.
• Follow up on parts orders, shipment status, pending deliveries and back‑orders with suppliers and internal teams.
• Work closely with Purchasing, Warehouse, Service and Suppliers to guarantee timely parts availability.
• Monitor fast‑moving and critical spare parts to minimise downtime and service delays.
• Support stock replenishment based on consumption trends and operational needs.
• Handle urgent and emergency parts requirements for operational and customer needs.
• Allocate, reserve and issue parts against job cards and operational requests.
• Maintain accurate records of parts requests, pending items, delivery schedules and order tracking logs.
• Update ERP and inventory systems with parts transactions and status changes.
• Escalate shortages, pending orders and availability issues as required.
• Coordinate warranty parts handling, returns and related documentation.
• Liaise with Finance on invoices and supplier documents.
• Ensure compliance with inventory procedures, operational controls and ISO standards.
• Prepare regular reports on parts coordination, pending orders and stock status.

Required profile

• Strong organisational abilities and attention to detail.
• Experience working with cross‑functional teams such as Purchasing, Warehouse and Service.
• Familiarity with inventory procedures and ISO 9001/14001/45001 compliance.
• Ability to manage multiple priorities in a fast‑paced environment.
